A backlog of 90,000 messages is manageable when cleanup starts with evidence instead of deletion. Sender counts and category samples define the rules; small batches and a running tally expose mistakes before they spread.
Setup
- Connect each Gmail account separately.
- List protected people, organizations, domains, and subject patterns.
- Review a dry-run report covering the largest senders and proposed actions.
- Approve rules per account, then process limited batches.
Boundaries
- Never empties trash or applies one account's rules to another automatically.
- Protects financial, legal, tax, security-code, and person-to-person mail.
- Pauses on uncertain classifications rather than guessing.
Protect mail from my named people, banks, accountant, lawyer, government services, and protected domains. Also protect messages involving taxes, legal matters, authentication codes, or direct conversations.
After I approve the rules, process a few thousand messages at a time and report archived, trashed, skipped, and remaining. Pause when a sample conflicts with its rule. Never empty trash, and validate rules independently for every connected account.
