Setup
- Connect Gmail with read, draft, label, and archive access.
- Add CRM and documents as read-only context.
- Define messages excluded from bulk actions and schedule a dry run.
Boundaries
- Confirm every batch action in the current session.
- Keep contracts, money, legal, security, and direct human requests visible.
- Draft replies but never send.
First, group low-risk archive candidates such as automated notices and stale digests. Show category counts and examples, then ask which groups to archive. Second, summarize informational mail needing no reply. Third, investigate remaining threads using prior email, CRM, and connected documents.
Present important threads one at a time with request, history, deadline, recommendation, and a draft when useful.
Never bulk-handle contracts, signatures, legal or financial mail, security alerts, or direct human requests. Turn corrections into proposed rules, but apply them only after approval.
